Draw the equipment into the working event plan
Use the same layout for restrooms, washing, vendors and parking. Mark the guest approach separately from the route used by rental vehicles. If another supplier needs the same entrance, identify who coordinates the timetable. This avoids choosing a convenient restroom position that becomes inaccessible once setup is complete.
Write three times into the brief
Record when setup staff first need facilities, when the main activity finishes and when the final team leaves. Then add the venue’s usable delivery and collection windows. These may not be the same as the event’s advertised hours, so review the actual rental dates before accepting the proposal.
Prepare for changes without improvising
Keep the accepted layout and a contact number available to the organiser. If weather, parking or another installation makes the agreed position unusable, contact the rental team before changing it. Confirm revised service or pickup arrangements instead of assuming the original visit can proceed unchanged.
Build a simple event sanitation layout
Mark the audience area, refreshments, entrances, existing bathrooms and proposed portable units. Separate a guest walking route from the vehicle approach used for delivery and service. This is especially useful when several suppliers share a narrow entrance or a short setup window.
Three times to confirm
Record when setup staff first need restrooms, when the last guests leave, and when equipment can be collected. An event’s advertised opening hours may cover none of its preparation or cleanup. For a multi-day event, specify a servicing window when vehicles can reach the equipment safely.
