Check what the venue already provides
Ask which bathrooms will be open to guests, vendors and setup staff, and throughout which hours. An indoor restroom reserved for another part of the property should not be counted automatically. Use that information to discuss the gap the rental needs to cover before choosing cabins or a trailer.
Balance presentation with a usable route
Consider how guests find the facilities from the reception, including after sunset. Screens or decorations should not obscure entry, limit usable space or prevent servicing. Discuss accessible equipment and the surrounding approach with the venue contact. A visually discreet position is only helpful if people can reach and use it.
Let one coordinator confirm the details
Keep the planner, venue and rental contact aligned on setup, collection and who can approve the position. Include suppliers working before guests arrive. Confirm utilities for a proposed trailer and have the full rental scope documented, leaving the couple free from avoidable access questions during the occasion.
A venue walkthrough before the rental
Follow the path guests will use from the reception to the proposed restrooms, including after dark. Review surfaces, steps and any accessible route with the venue. Consider the position relative to dining and photographs without putting the equipment somewhere that cannot be serviced.
Coordinate with the other suppliers
A trailer may share an arrival window or utility location with caterers, lighting and event staff. Nominate one coordinator to resolve those overlaps. Confirm the proposed equipment, connections and collection timing in writing so the restroom plan remains part of the complete event schedule.
